International travel registration FAQ

All ASU students participating in University-Related Travel outside of the United States and its territories,* as well as any ASU faculty/staff members engaged in University-Related Travel abroad with one or more ASU students, during which such faculty/staff have control, oversight or other supervisory responsibility over the accompanying ASU student(s). University-Related Travel includes, but is not limited to, the following activities:

  • Research, experiential learning (e.g., international internships, co-ops, volunteering, service-learning), independent study done abroad, or any other international travel that is part of an ASU class or for which the student receives ASU resident credit;
  • International travel sponsored by or affiliated with ASU or an ASU student organization (this applies to both affiliated and independent student organizations registered with EOSS);
  • Any other international travel by students for the purposes of officially representing ASU, such as participation in an academic or professional conference or athletic competition.

*Students/faculty/staff traveling abroad on programs administered by the ASU Global Education Office are registered in a separate system.

All registered travelers will receive the following services and resources:

  • Travel Intelligence. Access mobile-ready international travel intelligence and expert risk analysis and advice - before and during your international travel - about things like immunization requirements, safety risks, emergency services, LGBTQIA traveler concerns, and political stability/unrest.
  • Emergency Communications. Access 24/7 ASU emergency response services and enable ASU to reach you in the event of an emergency – abroad or at home. The travel registration system is ASU’s official means for sharing urgent health, safety and security related information.
  • International Health Insurance. Get covered by ASU's international health insurance program and access resources that will help you manage your medical needs abroad. This coverage also includes emergency evacuation in the event of political instability or natural disaster.

Yes. All registered travelers will be charged an International Travel Service Fee of $3/day. International Travel Service Fee charges will cover the following dates: beginning 1-2 days prior to the start of your university-related activity abroad through 1 day after the end of your university-related activity abroad.

It depends... For students who select the “Self-Pay” option when registering, the ASU Global Education Office will charge the International Travel Service Fee to the student's ASU account (with a due date on the next 25th of the month). For “Sponsored” travel, the ASU Global Education Office will coordinate billing with the sponsoring academic unit. Please contact travelsafely@asu.edu with questions about any specific situations.

Yes, but be sure to speak with the point of contact for your specific grant to verify details.

All travelers have to register themselves in the Student International Travel Registration System. Students traveling alone, or only with other ASU students, should select the “individual” registration options; students traveling with one or more ASU faculty or staff members should select the “group” registration options. Faculty/staff traveling with ASU students should register as a group leader, using the "group" registration options.

Students registering ASU-related international travel should know in advance who will be paying the cost of the $3/day International Travel Service Fee as this will determine whether you should select the “self-pay” or “sponsored” option when registering your travel.

  • Self-Pay: the cost will be billed your student account (even if that cost will later be reimbursed by a department or grant)
  • Sponsored: the cost will instead be billed directly to an ASU department or grant (details will be verified with the “sponsor” prior to any charges being submitted)

Yes. ASU policy currently requires formal approval for all ASU-related student international travel. In order to secure that approval, students should begin by registering in this Student International Travel Registration System at least two weeks in advance of planned departure. All such requests will be reviewed by the Global Education Office (GEO) and/or the ASU International Travel Advisory Committee (on behalf of the appropriate Dean/Vice President and Provost/Executive Vice President). Requests submitted less than two weeks prior to departure may not be reviewed before travel.

For any requests in My ASU TRIP (Concur), traveler should begin the registration/approval process in the Student International Travel Registration System. Once approved through this process, the traveler can then upload GEO’s approval notice in My ASU TRIP to expedite approval of that request by ASU Travel and Risk Management.

NOTE: Travelers visting the same location multiple times in a single academic year will need to register each trip separately (even for day trips). However, the review and approval process for any subsequent trips during that same term will be expedited.

The ASU Global Education Office will contact you via email if ASU considers one or more of your destinations to be “High Risk.”

Per the ASU Student International Travel Registration Policy, a country and/or area is designated as a “High Risk Destination” if any of the following conditions apply:

  • A current Travel Advisory (Level 3) has been issued by the U.S. Department of State*;
  • A current Travel Health Warning (Level 3) has been issued by the U.S. Centers for Disease Control and Prevention*;
  • A destination has a current Crisis24 Security Assessment rating of 4/5;**
  • A destination has a current Riskline Security Rating of 4/5;**
  • COVID-related restrictions in the destination are so restrictive as to significantly inhibit the student’s ability to achieve his/her objectives and access critical resources (e.g., border closures, required quarantine on arrival, severe restrictions on in-person activities, hospital capacity restrictions, etc.), or
  • ASU travel to a country/area has been designated as restricted by the Office of the University Provost.

*ASU does not automatically consider a destination to be “High Risk” if the Level 3 or Level 4 designation is due only to COVID.

**Crisis24 and Riskline are third party travel intelligence service providers with which ASU has a contractual relationship for risk analysis and other travel risk management services. ASU will not approve student travel to any destination with a 5/5 rating from Crisis24 or Riskline.

ASU requires advance review and approval of your travel to a “High Risk Destination” by the ASU International Travel Advisory Committee (ITAC).

Students registering travel to a “High Risk Destination” will be prompted to acknowledge the risks related to such travel by digitally signing an Acknowledgment of Safety and Security Risk(s) within the Student International Travel Registration System.

Yes. You have two options to edit your registration…

  1. Notify travelsafely@asu.edu that your plans have changed. Be sure to provide details regarding any change in locations, dates, etc.
  2. Return to your initial registration to edit your itinerary directly. To do so, login here, then navigate to your current travel registration (on the left side of the screen). Click on the name of the trip to edit your trip itinerary.

If you have canceled your travel plans and need to withdraw your travel registration (to avoid being charged the International Travel Service Fee), notify travelsafely@asu.edu as soon as possible.

This system does not replace ASU’s travel management system, so if you require expense approval or reimbursement you should also register your ASU business travel at https://cfo.asu.edu/myasutrip. However, any student engaging in ASU-related international travel, or ASU faculty/staff traveling with those students, should begin the travel request/approval process in the Student International Travel Registration System (before creating a request in My ASU TRIP).

It depends. Faculty and staff members traveling abroad for ASU business are required to register at https://cfo.asu.edu/myasutrip. Registration in the Student International Travel Registration System is only required for faculty or staff members traveling abroad with one or more ASU students - during which such faculty/staff have control, oversight or other supervisory responsibility over the accompanying ASU student(s). If you will be in an international location at the same time as a student, but are not traveling with the student or overseeing the student’s activity in any way (at an academic conference, for example), then you are not required to register. Please reach out to travelsafely@asu.edu with questions about any specific situations.

No. Travelers to Puerto Rico or any other U.S. territory are not required register their travel in the Student International Travel Registration System.
